When You Should Keep the CRM You Have

If your sales process fits a standard pipeline, your team uses most of the platform, and the bill is proportionate, stay. HubSpot, Pipedrive and Zoho are good products for the businesses they were designed for. A build makes sense when the workarounds have become the system, when you are paying per seat for people who only need to read a report, or when quoting, accounts and ad tracking have to be one record. What is a custom CRM?

A CRM built for one business around its own workflow, rather than a platform configured to approximate it. It has the same parts, contacts, companies, pipelines, automations and reporting, but only the parts you need, connected to your accounts software and your ad platform, running on infrastructure in your name.

How much does custom CRM development cost?

A fixed project fee after the workflow document, phased so the first release covers what your team uses every day. There is no subscription. You pay for hosting and, if you want it, support hours. Whether it beats a platform depends on your seat count and what the workarounds cost you. We put both figures in the proposal so you decide on numbers.

How long does it take to build a custom CRM?

The assessment takes about a week. A first release takes six to twelve weeks depending on quoting, integrations and how much history you want to migrate. We run the old and new systems in parallel before switching, so there is no day without a CRM.

Can a custom CRM integrate with QuickBooks?

Yes. Customers and products are imported, quotes become estimates with one click, and invoices sync back so the CRM knows what has been paid. Xero works the same way.

Is a custom CRM better than HubSpot or Salesforce?

Does a custom CRM make sense for a small business?

Small businesses are most of who asks. Two to ten users, a specific process, and a bill that makes no sense for the seats. The build is scoped to that, and adding a user later costs nothing.

Can we keep our phone numbers, calendars and email?

Phone numbers can usually be ported. Calendars connect to Google or Microsoft. Email is sent from your own domain and replies are tracked against the contact, so nobody has to keep a second inbox open.

What do we own at the end?

The code, the database, the hosting account and the documentation, all in your name. If you stop working with us, nothing switches off.
